Vendome Partners International was retained by an established Paris-headquartered manufacturer of innovative and connected workspace solutions to hire
an Administrative Coordinator who will be responsible for providing administrative and organizational support to the US Operations Manager in a fast-moving, dynamic environment.

 

Our client's award-winning line of products is designed to promote privacy and well-being at work and is currently sold throughout Europe with customers such as Google, LOréal, IBM, Citibank and Nike.

Administrative Coordinator

  

The position will be based at the brand-new showroom in lower Manhattan and will report directly to the Operations Manager. Upon hiring, there will be a 1-week hands-on training at the companys Paris headquarters.

 

Main Responsibilities:

  • Provide scheduling, calendar, and workflow management support
  • Meet, greet and direct customers at the New York location
  • Set up internal and external meetings by coordinating with key partners and stake holders
  • Plan and coordinate company events, meetings, client dinners, and other event activities
  • Identify, create, and implement systems and processes that help the office run efficiently
  • Receive and distribute mail, packages and deliveries as well as other logistical duties
  • Answer phones
  • Book US travel and accommodations
  • Participate in various meetings and manage agendas and follow-up items
  • Other ad hoc projects / administrative tasks as needed

Qualifications required:

  • Associate Degree
  • Must be bilingual French
  • Excellent inter-personal and communication skills
  • Strong computer skills including Microsoft Office tools
  • Highly organized and detail oriented with a positive, can-do attitude
  • Reliable and energetic
  • Based in New York City with occasional travel
